1. Administration (Front office duties and general office administration)
● General upkeep of the front office and meeting room facilities
● Collection of daily mail, opening of mail and general distribution of mail and incoming faxes
● Updating of forms, telephone directory and other general office administration such as travel bookings for colleagues (if any)
● Stationary and fixed/ office assets management
● Supporting in organizing office events as CSR, Team Summit, Year end party, other outdoor activities..
● Preparing and filing the general office letters (If required)
● Taxi and office expenses management
● Visa arrangement for visitor (intake permit, letter for visa purpose)
● Annual health check for staffs in Hanoi office
● Issue and manage in/out going letter
● Supporting IT to manage IT fix assets in on boarding and off boarding
● Any other support to IT (if any)
● Manage office leasing and contact point to dealing with landlord to solve any issue/requirement with landlord (if any)
2. Office expenses
● Support to process payment for office expense like office leasing, taxi, electricity, courier, car rental, pick up service, Internet, office phone, ...
● Handle petty cash for office expenses (if any)
● Support office audits/ tax audits/ tax declaration (if required)
3. HR Co-ordinator for Hanoi office
● Supporting HR on Onboarding of New Hires, Off-boarding of resignees
● Assist in arrangement of interviews with Hiring Manager for recruitment in Hanoi
● Any other duties & responsibilities as assigned by the management.
● Degree in Business Administration or bachelor in English any related fields
● Minimum 1- 2 years experience in an administrative role and office expense management or sales/marketing support environment
● Good command of spoken and written English
