Job Description

Objectives of this role: An Administrative Officer will act as the point of contact for all employees, providing administrative support and managing their queries. Main duties include managing office stock, supporting daily office procedures, and organizing company records.


  • Organize and keep the office clean and safe and ensure its appliances are in good working order.
  • Manage office supplies purchase, inventory, and distribution.
  • Maintain and update company databases.
  • Develop and maintain the filing system.
  • Maintain, update and manage all contracts of admin function.
  • Organize and consolidate invoices, receipts, and expense payment records.
  • Assist with translating technical documents.
  • Collaborate with developing office policies and procedures, and ensure they are implemented appropriately.
  • Identify opportunities for process and office management improvements, and design and implement new systems.
  • Assist with office layout planning, managing and maintaining IT infrastructure.
  • Be involved in recruitment activities, onboarding activities, timekeeping management, and termination processing.
  • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, drafting documents, and creating reports.
  • Be the primary contact person with vendors and service providers for office requests, maintenance, and repairs.
  • Assist in any ad-hoc duties and activities as and when required


  • Proven work experience as an Administrative Officer, Administrator, or similar role
  • Solid knowledge of office procedures 
  • Proficiency in MS Office (MS Excel and MS Word, specifically) and basic computer software
  • Strong written and verbal communication skills
  • Good Japanese reading skill is a must (JLPT N3 level or above)
  • Good English reading and writing skills (Toeic score from 550)
  • Self-sufficient, well organized, exceptional work ethic to meet deadlines
  • Critical thinking, problem-solving, and determination
  • Basic IT helpdesk knowledge is helpful but not required
