Job Summary

The HR Staff will support the HR Manager in handling daily HR operations and overall human resources activities. This role is responsible for attendance management, recruitment support, onboarding procedures, labor documentation, expatriate support, and HR administrative tasks to ensure smooth and efficient HR operations.

Key Responsibilities

  • Manage monthly working hour data, summarize attendance records, and update annual leave balances for reporting to HQ.
  • Support recruitment processes for Vietnamese and Japanese employees, including coordination with recruitment agencies, CV screening and summary preparation, interview arrangement, and offer letter drafting.
  • Prepare onboarding arrangements for new employees, including equipment setup such as laptops and mobile devices.
  • Prepare probation contracts and labor contract appendices for employees.
  • Coordinate annual health check-up activities for staff.
  • Handle initial employee registrations including dependent tax code registration and social insurance-related procedures.
  • Manage sign & stamp registration control, hardcopy filing, and document delivery to relevant vendors and internal members.
  • Control and manage HR-related contracts with external vendors.
  • Support expatriate administration including Visa, Work Permit, and Temporary Residence Card (TRC) applications and renewals.
  • Coordinate secondment agreements and related HR matters with HQ HR teams.
  • Support Personal Income Tax (PIT) administration for Vietnamese and expatriate employees, including data collection, PIT withholding certificate issuance, and PIT finalization support.
  • Perform other HR and administrative tasks assigned by the HR Manager.

Requirements

  • At least 3 years of experience in a similar HR position.
  • Experience working in foreign companies, especially Japanese companies, is preferred.
  • Good understanding of Vietnamese labor law, payroll, PIT, and social insurance regulations.
  • Proficient in both written and spoken English.
  • Positive, proactive, and highly responsible working attitude.
  • Willing to learn and take on new challenges for career development.
  • Able to work independently as well as effectively in a team environment.
