Mô tả công việc

Job Responsibilities:

  • Manage PO process: control PO input, check stock availability, issue PO to suppliers, arrange goods dispatch, and obtain Delivery Note (DN) approval from GM
  • Handle PO applications: prepare and submit PO requests for GM approval
  • Prepare documents before delivery: Sales/Purchase Contracts, Invoices, Packing Lists, payment requests to customers, and customs declaration documents for EPE customers
  • Coordinate delivery process: monitor delivery schedule, consolidate shipments to optimize trucking costs, arrange bookings with trucking agents, and follow up to ensure smooth customs clearance
  • Manage invoicing: collect and verify VAT invoices from suppliers, submit required documents to Accounting for invoice issuance
  • Handle post-delivery documentation: collect and verify signed DN from customers and signed DO from suppliers
  • Process supplier payments: check debit notes and prepare monthly payment applications after collecting all required documents
  • Support accounting tasks: review monthly sales reports, check invoices and stock, and summarize supplier invoices
  • Submit documents for signature: print and prepare documents for GM’s approval and signature
  • Register customer codes: process applications via Intramart system and obtain GM approval
  • Manage demand planning: prepare and review demand files, summarize, and send to suppliers
  • Maintain original documents: collect supplier signatures on PO and contracts, file and organize original documents properly
  • Perform other administrative tasks: arrange hotel bookings, air tickets, and general support for sales team

Requirements:

  • Language: Advanced English (Upper-Intermediate level)
  • Gender & Age Preference: Female candidates, aged 25–30
  • Education: Bachelor’s degree or above
  • Experience:Minimum 5 years of experience in a Sales Admin or equivalent position. Preference for candidates with experience in trading companies dealing with chemicals, lubricants, paper, or similar products
  • Other Skills & Attributes:Strong communication skills; professional and tactful. Proactive, dynamic, and able to take initiative in work
