Job Summary:
Sales & Marketing Support Executive Assistant will support our Sales and Marketing team in ensuring smooth administrative processes and exceptional customer service throughout the sales cycle. This role is responsible for handling sales documentation, coordinating payment follow-ups, assisting in contract execution, and supporting post-sale customer interactions to ensure commitments are fulfilled.
Key Responsibilities:
Sales Administration & Documentation
- Cooperate with Operation Team, manage all sales-related paperwork including contracts/payment with vendors, customers' request letter, customers' contracts, handover minutes, etc.
- Ensure timely and accurate data entry of customer information and transaction status into internal systems.
- Maintain and update sales tracking reports and dashboards.
- Data and document management. Arranging the data and documents into appropriate folders.
Coordination with Team & Partners
- Provide administrative support to the Sales and Marketing departments during product launches, events, and campaigns.
- Coordinate the preparation of marketing kits, presentation materials, and brochures as needed.
- Support the team in scheduling appointments, customer meetings, and site visits.
- Coordinate with partners to keep track and categorize the customers' requests/issues.
- (HP project only) Preparation of the sales permit: PIC to contact with VHM team for sales permit, preparing sales permit application, collaborating with Construction team and Design team to finish D&E documents, working with VHM team for timely preparation, seeking signature, preparing paperwork (hard copies, authorization) to send to VHM team. In charge of the information publication on government website for project.
Payment & Contract Follow-up
- Coordinate with partners and the Accounting Team to check the monthly SCA Fee and report to the Team Leader if there are any issues during the checking period.
- Support contract preparation (including legal review) and signing process with partners/vendors.
- Prepare the payment requests for any payments that are related to the Sales & Marketing Team and collaborate with the Accounting Team to make sure the payment process is implemented.
After-sales support (HP project only)
- Handle customer requests post-sale, such as updating information, processing handover documents, and managing customers' issues.
- Seek Senior Managers' approval (if needed) for the partners or customers' requests.
- Follow up on the implementation of contractual commitments (e.g. gifts, promotions, completion dates).
- Assist in organizing handover ceremonies or customer care programs as needed.
- Collaborate with Marketing Team and Mock-up Houses Receptionist to manage daily operation.
Requierement:
- Bachelor’s degree in Business Administration, Real Estate, or a related field.
- Minimum 1–2 years of experience in Sales admin or sales support roles (preferably in real estate or property industry).
- Proficiency in speaking and writing English
- Proficient in Microsoft Office (Excel, Word, PowerPoint); experience with CRM systems is a plus.
- Strong organizational skills and attention to detail.
- Good communication and interpersonal skills.
- Ability to work under pressure and manage multiple tasks simultaneously.
